Job Details
This role is in support of Cencora's global logistics and storage services marketed through our World Courier business.
In this role you will conduct all warehouse activities related to shipment processing and responsible for stock levels of packing materials and auxiliaries.
Responsibilities:
(Supervision of) loading and unloading of vehicles utilising the appropriate equipment
Shipments are prepared and sent by the most secure and efficient way pickups/deliveries
Uses and operates all relevant IT-Tools (e.g. TMS, X-act, Filebound, SharePoint)
Performing a stock check of packaging materials and order supplies if necessary
Obtaining accurate shipment weight and dimensions and recording this information in the Transport Management System and all other supporting documents
Preconditioning and pre-placement of packaging-materials and cooling-media
Execute daily driver dispatch processes, route scheduling and optimization
Assures vehicles are equipped as necessary
Maintains records of vehicle service and drivers working hours
Reports any shipments that arrive into the warehouse that may have been damaged in transit
Maintaining a record of all shipments on hold, ensuring they are stored within the correct temperature range
Orders drivers (pickup/ delivery of shipments at the customer, delivery / pickup of shipments at forwarders/ freight-companies)
Checks collected shipments in the office and prepares them for transport
Manages qualification / inspection dates in liaison with the Local Quality Coordinator and organizes required checks with appropriate vendors or authorities where applicable
Defrosts and cleans fridges/freezers & CaR if applicable
Uploads im- and export documents into the TMS and relevant IT-Systems
Represent World Courier in the best possible way

The following duties may also be included in this role when necessary:
Driving
Assisting drivers with delivery of consignments to cargo freight sheds
Transmits written communication of relevant information, weight discrepancies, concerns regarding packaging etc. to OPS/ CS-Personnel
Checks the planned departure or arrival times of flights (“Post Flight Check”)
Training of drivers in relevant topics in cooperation with Local Training Specialists
Builds and maintains relationships to contractors / forwarders (airlines, handling agents, the Rail, customs, governmental agencies, veterinarians, suppliers, other authorities, etc)

The role of the Operations Executive is a diverse and varied role which involves the planning and execution of shipment orders from initial order placement through to the physical preparation of shipments prior to dispatch to the airport through the highest level of customer service offerings and operational capabilities.
Shift Pattern:
07:00-15:30.
08:00-16:30. (Most of the days, but could rotate)
09:30 to 18:00
The holder of this position may perform the following tasks:
To ensure that all duties are carried out in a correct, timely and cost-effective manner
To ensure all shipments are sent in the most reliable and efficient manner and that the needs of other World Courier offices involved are considered
Ensure customers receive the maximum in customer service and service quality
Ensure all guidelines i.e. transport, customs, quality etc. are adhered to in their daily duties.
Ensure any Ops training / re-training is completed in a timely manner
Book shipments with airlines and pre-advise other World Courier offices
Preparation of shipments for export. Ensure correct packaging, labelling, paperwork is in place
Preparation of documents and/or electronic submissions including calculations of taxes/duties
Customs clear electronically all shipments originating from and destined for countries outside of the EU. Ensure that customs procedures are adhered to in line with local customs authority
Select the appropriate route based on all information at hand and estimate the transit time. This is to be communicated to the customer
Assign drivers to make collections/ deliveries
Update / edit TMS as changes occur.
Enter all pertinent information i.e. Special Delivery Instructions, Special Pickup Instructions, Extra Charges etc. into TMS
Monitor all outbound jobs during transport
Utilize technologies available to the full
Where there are temp control shipments, select the most appropriate and effective cold chain solution.
Ensure deviation portal is monitored and actioned in a timely manner.
Ensure our Quality objectives are met, namely improving KPIs, ensuring event notes are analysed/addressed and QA receive information required to complete CAPA reports within 28 days. Ensure CAPA actions are implemented
Maintain relationships with Contractors / Airlines (booking & handling) / Govt Agencies / Customs Officials / Vets and Suppliers. This list is not exhaustive
To assist Sales with any operational queries and to offer guidance if necessary.
To identify areas of improvement and inform the Manager. Should also inform the Team Leader / Supervisor / Manager if there are any concerns or problems within the office

Under broad supervision of the Customer Service supervisor, you will become an integral part of our team, acting as first point of contact for our customers on an international level. Our Customer Service teams works closely with other offices around the world as well as vendors and governmental agencies to find optimal solutions for our customers complex logistical needs. Primary Duties and Responsibilities:
Engage in effective personal communication with customers, colleagues and suppliers
Maintain effective relationships with clients and proactively support their complex needs
Ensure all shipments and customs requirements are handled according to company and international regulations
Calculate, prepare and present quotes for external and internal customers in line with established guidelines and policies
React flexibly to deviations in shipments and provide customers with suitable and efficient solutions
Generate sales leads and collaborate with sales on identification and development of potential and existing accounts

Requires broad training in fields such as business administration, logistics or operations
Fluent in English and Swedish
Effective oral and written communication

Able to prioritize work load and consistently meet deadlines; possess exceptional time management skills and attention to detail
Strong problem solving, analytical and investigative skills to bring issues to resolution

Arbetet innebär att du, vår Logistikoperatör, ansvarar för inköp, lagersaldo och kvalitén på vårt lager. Du ansvarar även för att upprätthålla driften och förberedelsen av våra förpackningar vars syfte är att säkerställa en temperaturkontrollerad transport – från dörr till dörr. Arbetet innebär även att du ca 50% av din arbetsdag transporterar tids- och temperaturkänsliga produkter med B-kortsbil, mestadels från/till Arlanda samt inom Stor-Stockholm. Att du har B-körkort är därför givetvis ett krav.
Du ingår i vårt operationella team men arbetar själv på lagret vilket innebär att du bör vara målmedveten, ha ett högt driv med god planeringsförmåga samt trivas med en vardag i rörelse.
Genom vår on-boarding/internutbildning kommer vi att se till så att du får gedigna kunskaper i våra processer, vår service och våra system samt i ”Good Distribution Practice”. Därför är det viktigare för oss är att hitta dig med rätt personliga egenskaper framför rätt utbildning/erfarenhet.
Du ska kunna tala och skriva svenska och engelska obehindrat då detta arbete innebär mycket kontakt med kollegor inom- och utanför Sverige.
